Who collects this information

This survey is run by a real estate agent using this survey tool to collect buyer feedback on a property they have listed. The agent’s name and agency appear on the survey intro screen and in every message you receive.

What we collect

When you’re invited: your name, mobile number, and email address (if you gave the agent an email). When you respond to the survey: your answers to the survey questions, including any free-text you write in for “Other” or the final open question. If you say yes to being sent other matching properties (including off-market ones), we also collect the preferences you choose to give — bedrooms, bathrooms, price range, and suburbs. Only the agent receives those preferences, and they use them for exactly that purpose: sending you properties that match. These answers fall under the same retention and deletion rules as everything else on this page.

How we use it

Your individual answers go to the agent, so they can follow up with you if you asked to be kept in the loop. The property owner never receives your individual answers, name, mobile, or email — they only ever see an anonymised summary combining all attendees’ responses (counts, themes, and a handful of quotes the agent has chosen and reviewed). Nothing you say is attributed to you by name in that summary.

Who we disclose to

  • The property owner — an aggregate, anonymised summary only, as described above. Never your name, contact details, or an un-reviewed quote.
  • Resend, our transactional email provider — sends the invite, reminder, and unsubscribe emails on our behalf. Resend processes and stores message content and recipient addresses in the United States, regardless of where you are. This is a cross-border disclosure of your email address and the fact that we contacted you. We don’t use Resend’s tracking features (open/click tracking is switched off).

We don’t sell or otherwise share your information with anyone else.

Where it’s stored

Your data is stored and processed in Australia (Firestore in an Australian region; the application servers that read it run in Sydney), with one exception: Resend, described above, which is a US-based service. Sign-in for the agent’s own account uses Firebase Authentication, a global service — but that only ever holds the agent’s own login details, never yours.

How long we keep it

Once the property’s campaign closes (or 30 days after its last open if the agent never explicitly closes it), a 90-day countdown starts. 90 days after close, we automatically and irreversibly de-identify your name, mobile number, and email address, and remove any free text you wrote (the “Other” fields, the final open question, and the suburbs you listed if you opted in to hear about other properties) — because free text can itself identify you. Your structured answers (e.g. which options you selected) stay on file in de-identified form so the agent’s records and the pilot’s aggregate statistics remain intact; they can no longer be linked back to you. If a report was already sent to the property owner before the purge, the quotes they were shown remain part of that report — the agent reviewed and chose those before sending, and they were already de-identified at that point.

Your choices

At the end of the survey you can choose whether the agent may keep you in the loop about this property, this property and similar ones, or not at all. If you’d rather not hear from us again, every email we send has an unsubscribe link, or you can reply STOP to any text message. Opting out only affects this property — attending a different agent’s open, or a different property by the same agent, starts fresh.

Access, correction, and deletion

You can ask to see, correct, or delete your information at any time — contact the agent who invited you directly using the details on the survey or in your invitation. We’ll action reasonable requests promptly; note that some structured, de-identified data may be retained as described above even after a deletion request, since it can no longer be traced back to you. If you can’t reach the agent, or you have a privacy complaint about qpIQ itself, contact us directly at hello@qpiq.app.
